The Problem
The plant had 120 employees working across 4 rotating shifts. The HR team used a combination of biometric punch data exported to Excel, manual leave registers, and a separate accountant spreadsheet for payroll. Every month, processing payroll took 2+ days, was prone to errors, and required multiple rounds of correction before disbursement. Statutory deductions (PF, ESI, Professional Tax) were calculated manually — a compliance risk.
What We Built
We built a self-hosted HR and payroll system integrated with their biometric device. Key capabilities included:
- Live attendance dashboard pulling data from biometric terminals
- Shift and roster planning with conflict detection
- Leave application and multi-level approval workflows
- Automated payroll engine with earnings, deductions, and statutory compliance
- Payslip PDF generation and WhatsApp delivery per employee
- Monthly PF/ESI/PT challans generated automatically
The Outcome
Payroll processing time dropped from 2 days to under 20 minutes. Errors in statutory calculations went to near-zero. HR staff now manages exceptions only — routine calculations happen automatically. The plant has since expanded to 160 employees without adding HR headcount.
