Case study
Custom ERP for a B2B Trading Company
A mid-size B2B trading company with three branch offices was managing purchases, sales orders, dispatch, and reconciliation across WhatsApp and Excel. We replaced this with a unified ERP.

The Problem
The company processed 80–120 orders per day across three offices. Purchase teams, sales teams, and dispatch were using separate Excel files and WhatsApp groups to communicate. This caused orders to get lost, inventory counts to drift, and reconciliation to take 3+ days at month-end. Management had no visibility into which orders were fulfilled, which were delayed, or what stock was available in real time.
What We Built
We designed and deployed a custom ERP tailored to the company's specific workflows — not a generic off-the-shelf platform. Key modules included:
- A unified purchase and sales order system with real-time status tracking
- Inventory management with branch-wise stock visibility
- Dispatch module with dispatch scheduling and proof-of-delivery upload
- Supplier and vendor portal for PO issuance and receipt confirmation
- Finance reconciliation dashboard for daily and monthly close
- Role-based access so each team saw only what they needed
The Outcome
Within 6 weeks of go-live, the operations team reported zero lost orders. Month-end reconciliation dropped from 3 days to same-day. Management gained a live dashboard showing total inventory, open orders, and dispatch status — from any device. The company scaled from 3 to 5 offices using the same system without needing additional headcount.
